Publish work-order fields to Shopify

With Enhanced, connect work-order fields to Shopify metafields on your linked finished goods. You can publish a due date, planned quantity, built quantity, remaining quantity or whether any work orders match your choices.

These values describe work-order progress. They do not promise incoming stock, available inventory or a delivery date.

  1. Open Settings → Catalogues → Metafields and find Publish to Shopify. You can also open Settings → Catalogues → Work orders → Manage work order publications, which shows the work-order connections.
  2. Click Connect field. Choose Work orders as the Source and Due date as the Field.
  3. Choose Product or Product variant under Owner, then select an existing Date metafield under Destination. Product combines matching variants of that product; Product variant keeps each variant separate.
  4. Choose Earliest to show the next matching due date, or Latest to show the last one. For dates of 3 November and 8 November, Earliest publishes 3 November and Latest publishes 8 November.
  5. Review Statuses. The defaults are Ready, In progress, Paused, Quality control and QC approved. Add Draft if you also want planned work that has not been released.
  6. Leave Outstanding items only selected to use items that still have work remaining. Clear it if fully processed items on those active work orders should still contribute their due date.
  7. Click Preview to inspect representative results, matching work-order and item counts, and what happens when nothing matches. Preview changes no Shopify values and may cover only part of your catalogue. If you change your choices afterwards, preview again before saving.
  8. Leave Enabled on and click Save. This connects future changes. A saved rule is not confirmation that a value has already reached Shopify.

If no compatible destination exists, click Manage definitions in Shopify to create one, then return and click Refresh definitions. Use a writable product or variant definition with the right type. Fields controlled by another app cannot be used. Each destination can have one publication connection.

Use Connect field again for each additional value you want to publish.

FieldWhat it describesShopify metafield type
Planned quantity for matching work ordersThe planned quantity, including units already processed.Decimal number
Built quantity for matching work ordersUnits built for the matching work orders; taking a unit apart does not count as building it.Decimal number
Remaining quantityWork still to process on matching active work orders, never below zero for each item.Decimal number
Has matching work ordersTrue when at least one work order matches your choices.True or false

For quantities, Sum combines the matching work orders. Highest takes the largest total from one matching work order. If two work orders plan 2.5 and 4 units, Sum publishes 6.5 and Highest publishes 4. Fractions are preserved.

Both dates and quantities also offer Most recently updated and Oldest created. These choose the value from the matching work order most recently edited or created first, respectively. They do not choose the earliest or latest due date. The matching flag uses Any matching value.

Completed and Cancelled can be selected for planned quantity, built quantity and the matching flag. Due date and remaining quantity use active work, with Draft optional. Outstanding items only applies to due dates.

Remaining follows work-order processing progress, including disassembly. Built counts building only, so remaining is not always planned minus the published built value. Neither quantity replaces your Shopify inventory count.

Backfill existing work and linked finished goods

Section titled “Backfill existing work and linked finished goods”

Saving a new connection covers future changes. To publish existing data:

  1. Open Edit mapping for the saved connection.
  2. Save or discard any changes and keep the connection enabled.
  3. Click Backfill existing data and confirm.
  4. Follow its progress in the editor. While it discovers the affected finished goods, the total may be unknown. Completion means this backfill’s values were acknowledged; later work-order changes are tracked separately.

Backfill covers existing matching work orders and all eligible finished goods linked to your Shopify products or variants, including those with no matching work orders. A linked finished good needs no current work order to receive an empty result. Work that only makes assembly bills does not create a finished-good publication.

When nothing matches, Assemblified deletes the date, writes 0 for a quantity or writes false for the matching flag. A work order without a due date contributes no date. Backfill can therefore clear an old date or replace an old quantity even when there is no current work to publish.

Starting again while the same backfill is active returns that backfill. If it is partial or failed, correct the reported problem and use Retry failed work. If it is superseded after a connection change, start a new backfill for the saved choices. Retry status reads progress again when progress could not be loaded.

Changing the choices or re-enabling a connection to the same destination automatically refreshes finished goods that connection already manages. Refresh managed targets lets you refresh those values again. Use Backfill existing data when you want to include all linked finished goods.

To pause future publication, turn Enabled off and save. Disconnect removes the connection. Disabling, disconnecting or choosing another destination leaves existing Shopify values in place. A request already sent to Shopify may still finish. A changed connection also replaces any active backfill using the old choices.

If a selected Shopify definition is removed or becomes incompatible, publication pauses and the editor shows the problem. Restore that definition, then choose Retry publication to resume the saved connection, even if you have never run a backfill. To use a different definition, choose a compatible one and save. Save or discard unsaved choices before retrying. If Enhanced cannot be verified, the editor keeps your unsaved choices and offers Retry plan.
