Order production

Order production is for the moment a team member has built the units one Shopify order is waiting for. When the order’s components are already held by an order reservation, you record the built units against that order: the held components are consumed, the built units stay held for the order, and Assemblified writes a completed work orderWork orderA planned production run: pick materials, build the items, do QC, and complete — all tracked together. Use work orders when you're building stock ahead of demand or running a multi-day project. Read more → as the record. For order lines that no reservation holds, the same dialog can start an ordinary work-order draft instead.

It needs the Enhanced plan (Elevate includes it). The ordinary Create from orders path keeps working on every plan.

  • Before you start
  • Pin the order block in Shopify
  • What the block shows
  • Record built units for a reserved order (the 7 / 5 / 2 example)
  • What a confirmation creates
  • Start a normal work-order draft
  • Why a line is blocked
  • A confirmation that is not finished
  • After the confirmation: shipping, cancelling and returns
  • On a plan below Enhanced
  • Known limits
  • Doing it from an AI assistant

Recording built units works on orders whose components Assemblified reserved. That needs two settings on General:

  • Respect order and fulfillment locations when available (multi-location processing), and
  • Track BOM materials as Shopify-reserved between routing and fulfillment (order reservations).

With either one off, reserved lines say “Multi-location processing and order reservations must both be on”. The normal-draft shortcut needs only the first one.

While order production still holds built units, or a confirmation is not finished yet, Assemblified refuses to switch either setting off: “Order production still holds built or pending stock for orders. Ship, cancel or finish those orders before turning this setting off.”

Order production is reached from its own block on the Shopify order page. It is separate from the BOM links and Material requirements blocks and sits beside them. You add it once, and it then shows on every order.

  1. Open any order in the Shopify admin.

  2. Open the ⋯ (More actions) menu at the top of the order page and choose Add block.

  3. Pick Assemblified order workbench. That is the block’s name in Shopify’s picker.

  4. Pin it. The block now shows on every order page, beside the Material requirements block if you use it.

The block only reads. Nothing changes until you press one of its buttons and confirm in the app.

The block’s Order production section carries a status badge (Ready, Nothing to do, Blocked or Unavailable) and four numbers:

RowWhat it counts
Reserved finished quantityFinished units held for the order: units on the pre-assembled shelf plus units already recorded as built.
Eligible to confirm from componentsUnits the order’s held components can still become.
Recorded productionUnits already recorded as built for this order.
Draft work order candidatesOrder lines that can go into a normal work-order draft (a count of lines, not units).

Under Blockers it names what stops a line, one reason per line. Refresh reads the order again.

Two buttons appear when there is something to do:

  • Record production, when held components can still become units. It opens the app’s work-order list with the Create from orders dialog already on this order.
  • Create work order, when a line qualifies for a normal draft. It opens the same dialog on the normal draft.

If the order’s information cannot be read, the block says so and shows no numbers rather than zeros: “Production information is unavailable right now. No quantities are shown until it can be read.”

Here is the example the dialog is built around. An order asks for 7 of a finished good. 5 are already on the pre-assembled shelf and are reserved for the order. The components for the remaining 2 are held by the reservation.

The block reads Reserved finished quantity 5, Eligible to confirm from components 2. Your team builds 1 unit today.

  1. Press Record production on the order’s block. The Create from orders dialog opens on that order and reads it fresh.

  2. Find the line under Reserved order lines. It shows Ordered 7, Already covered 5, and Components held for 2 units.

  3. Enter what was built in Built now: 1. The field allows up to the number the held components cover (Up to 2). A higher number is refused right there: “That is more than the reserved components cover for this line.” Only whole units can be recorded.

  4. Check the location. If the order’s reserved lines sit at more than one location, choose the Production location where the units were built. Each confirmation covers one location.

  5. Read Where the units go: “The held components are consumed. The built units stay held for this order and do not become available stock.”

  6. Tick These units are physically built and complete. The confirmation is refused without it. A recorded confirmation cannot be reversed from its work order, so record only units that really exist.

  7. Press Record built units.

The dialog answers Production recorded: “1 unit was recorded as built for this order. It stays held for the order.” The line now reads Already covered 6 and Components held for 1, and so does the block. When the last unit is built, use Record more built units and repeat. Each confirmation creates its own work order.

A few rules the dialog applies:

  • Every unit you enter must be finished. There is no “in progress” state: the confirmation records complete finished goods only.
  • Some lines can only be confirmed all at once. A line whose bill draws an assembly BOMSubassemblyA reusable assembly block that composes into bigger bills: define it once, include it in any bill of materials, and Assemblified expands it into its own components at execution time. Its definition is an assembly BOM. Read more → from its own pre-assembled shelf offers All N built instead of a number field.
  • One confirmation carries up to 25 lines. Confirm the rest separately.
  • The order may change while you type. If it does, the dialog reads it again, keeps the quantities that are still valid, and asks you to check them and tick the confirmation again.
  • Shopify-rejected lines are named first. If Shopify has no inventory record for the finished good or a component at that location, the dialog names those lines before anything is sent.

Each confirmation writes one completed work order linked to the order, for example #WO-00066, status Completed. It shows up on the order’s line under Work orders already linked to this order as Recorded production, and on the Work orders list with the order in its Order references column.

That work order is a record, not a plan:

  • It is read-only. Its page says: “This work order records units confirmed as built for an order’s reserved components. It is read-only: its build run cannot be reversed or changed here.” It has one build run, and that run cannot be cancelled, reversed or taken apart.
  • Its material cost is frozen at what the held components cost when they were reserved.
  • You can still tag the linked order from it.

In Shopify, the held components are taken out of stock, and the built units are added to the finished good at the production location while staying with the order. For a finished good whose quantity follows its components, the next recalculation settles that side instead; the receipt then reads Waiting for the finished good’s recalculation.

Some order lines have no reservation behind them, for example because their bill was inactive when the order came in. When Assemblified can see that nothing was deducted for the order, those lines are offered as Normal draft.

  1. Press Create work order on the block, or choose Create a normal work-order draft for the other lines in the dialog when the order has both kinds of lines.

  2. Pick the lines under Lines for the draft and set each quantity.

  3. Choose the production location (Where this work order is built.).

  4. Press Create work-order draft.

The result is an ordinary draft work order, linked to the order. You plan, build and complete it like any other work order. Assignee, due date, priority and tags can be set on the work order after it is created.

What it is not: it does not settle the order. Completing it adds stock the normal way, as any work order does, and the order itself is processed exactly as it would be without the work order. The draft always starts as a draft; there is no “start right away” from this shortcut. If the request is interrupted, check the order’s linked work orders before you press again, because the draft may already exist.

Each blocked line says why, in the dialog and in the block. The reasons you will see:

ReasonWhat it means and what to do
Multi-location processing and order reservations must both be onSee Before you start.
The order is tracked, not reserved, so no components are held for itThe order was handled without a reservation, so there is nothing held to record against. Use the ordinary Create from orders.
Already covered by stock on the shelf or recorded productionNothing is left to build for the line. The block reads Nothing to do.
The bill is sold only from pre-assembled stock and is never builtThe bill uses Only sell pre-assembled quantities.
The bill of materials is inactive or missingActivate the bill, or plan the work with the ordinary Create from orders.
The finished good cannot be produced hereThe finished good’s stock is managed in a way order production does not support yet, for example by a partner store in a store group, or the location is disabled for its bill.
Floormode books this order’s components; turn the connection off to record order production hereWhile the Floormode connection is on, it books the order’s components itself, so no reserved line can be recorded here.
The line cannot be attributed to exactly one order line and fulfillment orderPart of the line is reserved and part is not, or several lines share one product, so Assemblified cannot tell the units apart.
Reserved units were already shipped, released or used, or are still being changedPart of the line was already fulfilled, edited or released after it was reserved. For a normal draft, the order’s components were already deducted.
Stock, fulfillment or order processing is not settled yetSomething about the order is still in progress, on hold, or cannot be confirmed. Try again later.
Another confirmation of these units is still being recordedFinish that confirmation first (see the next section). Never record the same units twice.
Part of the order’s source could not be readTry again in a moment.

Lines that are blocked for a normal draft can still be planned through the ordinary Create from orders dialog. That one works on any order and every plan.

Recording built units takes several steps in Shopify. If one of them does not complete, the dialog shows This confirmation is not finished yet and lists each step (Reserved components: and Built units:, each with its state). Nothing is shown as built until every step is done.

  • Retry sends only the steps that have not completed, with the same quantities. It never changes what was accepted.
  • Check again reads the latest state when some steps are still running.
  • A step whose outcome in Shopify is unknown is never sent again automatically. Check the stock in Shopify; inventory reconciliation can repair a difference.

If the dialog answers Production recorded, but Shopify did not confirm every step, the units are recorded but Shopify refused a step or did not answer. Check the stock in Shopify and reconcile.

You can come back to an unfinished confirmation later, from any browser. When the dialog opens on the order again, it lists the unfinished confirmations first under Confirmations for this order, and a line held by one offers Check the unfinished confirmation. While a confirmation is unfinished, its lines read “Another confirmation of these units is still being recorded”, so the same units can never be recorded twice. An unfinished confirmation cannot be abandoned or acknowledged from the app; finish it with Retry, or contact support.

After the confirmation: shipping, cancelling and returns

Section titled “After the confirmation: shipping, cancelling and returns”

The built units belong to the order until it ships.

  • Shipping the order uses the built and shelf units first, then the held components.
  • Cancelling or reducing the order gives back the components that were not built yet first. Built units stay with what remains of the order. When nothing of the order remains, the built units go back to the pre-assembled shelf, and the components that were never built go back to stock as materials.
  • Returns after shipment follow the bill’s Keep assembled on return setting, like any other finished unit (Refunds & cancellations).

Nothing is hidden by plan. A block you pinned stays on the order page, and shows “Order production in this block is part of the Enhanced plan.” On a store below Enhanced the block loads no order information at all; it only checks the plan. If the plan cannot be checked at that moment, it says “Your plan could not be checked right now, so nothing is shown. Try again.”

In the app, following an order-production link opens the ordinary Create from orders dialog with the note Building for one order needs the Enhanced plan and an Upgrade button: “Recording built units for an order and the one-order draft are part of the Enhanced plan. You can still create a work order from orders on your current plan.”

Work that was already accepted is not lost when a plan changes. A confirmation made before the plan dropped still reads under Recorded production, and an unfinished one can still be retried. Record more built units is refused and shows the upgrade note instead.

  • Order events wait for an active subscription. While your Assemblified subscription is inactive, or cannot be confirmed, Assemblified does not process order events from Shopify: new orders get no reservation, and order changes in that time are not applied later. Check the orders from that period once the subscription is active again; Reservation backfill can catch up open orders that never got a reservation.
  • No work in progress, quality control or disassembly. Order production records finished units only. Use an ordinary work order when you need build runs, quality control or rework.
  • No undo. A recorded confirmation cannot be reversed from its work order. A difference in Shopify is repaired with inventory reconciliation.
  • Unsupported setups are refused, not guessed. Stock owned by a partner store or by the Floormode connection, and finished goods whose stock mode is not supported yet, are blocked with a reason before anything is written.

A connected assistant with write access can do the same: preview the order, record built units with your certification, create the normal draft, and check or retry a confirmation. See Operating work orders → Order production.
